Chicago Doorways, established in 2000, is a customer-focused business providing quality commercial doors, frames and hardware in the Chicago metropolitan area and surrounding suburbs. We work closely with customers to make sure they get the specialized care, focused attention and exact products they need to successfully complete their projects. As a result of growth, we are looking for a Project Coordinator to assist our project management team supporting the management of projects from bid acceptance to delivery preparation by assisting with customer and vendor communication, ordering of materials, and general order management.
Duties and Responsibilities:
Interact with Project Managers and Estimators to help review, plan, and organize jobs awarded to company.
Research and respond to customer/contractor inquiries, requests for information and change requests by phone and e-mail in a professional and timely manner, following-up as necessary.
Create and maintain Electronic files and key documents for each project.
Update and maintain current project status spreadsheet and documentation.
Prepare, coordinate and deliver/communicate documents and information needed by customers and contractors.
Identify and solve potential problems and communicate internally and with the customer.
Support the creation and distribution of accurate project submittals including schedules, shop drawings, and product literature for client review and approval.
Help with pricing, ordering and delivery of post-project add-ons.
Organize, schedule and coordinate key communication to meet deadlines.
Accurately enter and update product pricing and quantity information into QuickBooks and/or Emullion software packages.
Coordinate with the warehouse to make sure what is needed for delivery with client to meet construction schedule has arrived. Assist with the communication and management of any schedule changes.
Create and maintain warranty and close out documents for projects. Communicating with the customer/contractor as needed.
Help create accurate purchase orders for materials needed for projects.
Performs other related duties as assigned.

High school diploma or equivalent
Previous experience in construction industry a plus
Strong communication and customer service skills
Ability to multi-task and manage multiple projects of varying complexity simultaneously
Strong organizational skills
Full understanding of Microsoft Office software
Advanced understanding of Microsoft Outlook
